Privacy Policy

Diamond Dominator is operated by Christopher Hansen, doing business as Diamond Dominator (“we,” “our,” or “us”). This policy explains what information we collect, why, who sees it, and what you can ask us to do about it. It covers diamonddominator.com and our application.
Diamond Dominator is used by two kinds of people: adults running leagues and teams, and parents and guardians registering children to play. Children never create accounts and never sign in. Everything about a child is entered by their parent or guardian, or by their league from the league’s own records.
1. Our Role, and Your League’s Role
When you register a child with a league, club, or other organization (an “Organization”) through Diamond Dominator, that Organization decides what to ask you and what to do with your answers. We store and process that information on the Organization’s behalf and at your direction when you submit it.
This matters for two reasons. First, questions about why a particular question is being asked, or how the Organization uses an answer, are best directed to the Organization. Second, if you ask us to delete information the Organization relies on, we will tell you when we need the Organization to be part of that decision.
2. Information We Collect
- Account information. Your name, email address, and authentication details when you create an account. If you sign in with Google, we receive your basic profile from Google — we never receive your Google password.
- Player information. For each child registered: legal first and last name, preferred name, date of birth, gender, grade, school, uniform sizes, and the link between the child and their parents or guardians. Date of birth is used to determine age-based division eligibility.
- Registration answers. Answers to the questions your Organization chooses to ask, along with a copy of each question exactly as it was worded when you answered it, the time you answered, and which account submitted it. We keep the question wording so that a record of what you agreed to remains accurate even if the Organization later rewords the question.
- Agreements and waivers. The text of any waiver, code of conduct, or agreement your Organization presented to you, as you saw it, together with your response.
- Volunteer information. If you offer to volunteer: your name, email, phone number, the roles and division you volunteered for, and the status your Organization records for any background check it requires.
- Photographs. Player photographs uploaded by a parent or guardian. See Section 4.
- Payment information. Amounts charged, paid, refunded, and disputed, and the identifiers our payment processor gives us. Card numbers are entered directly with Stripe and never reach our systems.
- Team and gameplay data. Rosters, statistics, positions, availability, lineups, schedules, and coaching notes.
- Usage and device data. IP address, device and browser information, pages viewed, and actions taken. This includes session replay and analytics — see Section 7.
What we do not collect: we do not ask for Social Security numbers, government identification numbers, or financial account numbers, and the application has no field for medical records or immunization records.
3. Health Information
Organizations can add their own questions to a registration form, and some ask about allergies, medical conditions, medications, physician contact, or emergency contacts. When you answer one of those questions, you are directing us to store your answer and make it available to that Organization.
- We do not require health information, and we do not use it for anything other than storing it and showing it to the Organization you provided it to.
- We never use health information for advertising, and we never sell or share it.
- Answer only what you are comfortable providing. If you are unsure why an Organization is asking a question, ask them before answering.
4. Photographs of Players
Player photographs are used for roster identification, for features that depend on recognizing which player is which, and — where an Organization participates in a tournament or governing body that requires identity or age verification — for that verification.
- Only a parent or guardian can upload one. Coaches, volunteers, and Organization administrators cannot upload a photograph of a child.
- Who can see it: the player’s own parents and guardians; the staff and approved volunteers of that player’s team and Organization, including any background-check requirement the Organization imposes on its volunteers; and authorized Diamond Dominator personnel for the limited support purposes in Section 6.
- Who cannot: other families, other teams, other Organizations, and the public. Player photographs are not published anywhere and are not indexed by search engines.
- No facial recognition, ever. We do not apply facial recognition, faceprinting, other biometric identification, or automated tagging to photographs of minors, and we do not permit our vendors to do so. We do not create biometric identifiers from any photograph.
- Not sent to AI providers. Player photographs are excluded from the AI features described in Section 7.
- You can remove it. A parent or guardian can delete a photograph they uploaded at any time.
5. How We Use Information
- To operate the Service and provide the features you and your Organization use.
- To determine division eligibility, place registrations, manage waitlists and tryouts, and produce rosters.
- To calculate what is owed, process payments, apply discounts, and record refunds and disputes.
- To send transactional messages: registration confirmations, payment receipts, waitlist and placement notices, and account and support messages.
- To generate lineup, positioning, and analytics suggestions.
- To secure the Service, investigate abuse, and comply with law.
- To improve the Service, including through aggregated and de-identified data that does not identify any individual.
6. When Diamond Dominator Staff Can See Your Information
Authorized Diamond Dominator personnel can access stored information, including photographs, only when necessary to provide technical support, investigate a security or safety concern, keep the Service working, or comply with a legal obligation. We do not browse Organization data, family data, or photographs for any other reason, and we do not use them for marketing.
7. Who We Share Information With
We do not sell your personal information, and we do not share it for targeted advertising. We share it in these situations:
- Your Organization. The league or club you registered with sees the information you provided to them. Access within an Organization is limited to its administrators, and to the staff and approved volunteers of the relevant team.
- Tournaments and governing bodies. Where your Organization participates in a tournament, league association, or sanctioning body that requires proof of age, identity, or eligibility, the Organization may share the necessary registration information and player photograph with that body. The Organization decides whether to participate and what is required.
- Service providers. Companies that run parts of the Service for us: Google Cloud and Firebase (hosting, database, authentication), Stripe (payments), Vercel (application hosting), Resend (transactional email), Google Gemini (AI features), Sentry (error monitoring), and Statsig (product analytics, feature flags, and session replay). They may process information only to provide their service to us.
- AI features. Certain optional features send team, roster, and statistical data to Google Gemini to generate insights. Player photographs, health information, and payment information are excluded.
- Analytics and session replay. We use Statsig to understand how the application is used, which includes recording interactions with the interface so we can diagnose problems. This recording is configured to mask information entered into forms — including registration answers, health information, and payment details — so that it is not captured. We use these recordings only for troubleshooting and improving the Service, never for advertising.
- Legal and safety. We may disclose information where required by law or legal process, or where we believe in good faith that disclosure is necessary to protect the safety of a child or any person.
- Business transfer. If this business is reorganized, transferred to a successor entity, or acquired, information may transfer with it, subject to this policy.
8. Children’s Privacy
Children do not have accounts and cannot sign in to the Service. We do not knowingly collect personal information directly from a child. All information about a child comes from that child’s parent or guardian, or from the Organization the family registered with.
If you believe a child has provided information to us directly, or that information about your child was provided by someone without the right to do so, email us at support@diamonddominator.com and we will investigate and remove it where appropriate.
9. How Long We Keep Information
We retain information indefinitely unless you ask us to delete it. We do not automatically delete registration records, player profiles, payment records, or photographs after a season ends. Organizations rely on prior seasons for eligibility history, sibling discounts, roster continuity, and financial reconciliation, and payment records are kept as business and tax records.
You can ask us to delete information at any time — see Section 10. Where we are able to honor a deletion request, we will, subject to records we are required to keep by law (for example, financial and tax records) and to information an Organization needs to resolve an open payment or dispute.
10. Your Choices and Rights
You can review and update much of your information in the application directly, including your account details, your children’s profiles, and photographs you uploaded.
For anything else — access, correction, deletion, or a copy of your information — email support@diamonddominator.com with the email address on your account and what you would like us to do. These requests are handled by a person, not an automated tool. We will acknowledge your request within 10 business days and respond substantively within 45 days, and will tell you if we need more time.
We will not deny you service, charge you a different price, or give you a lower level of service for exercising these rights.
11. California Privacy Rights
If you are a California resident, the California Consumer Privacy Act, as amended by the CPRA, gives you the right to know what personal information we collect and how we use and disclose it, to request a copy of it, to request correction of inaccurate information, to request deletion, and to be free from discrimination for exercising those rights.
The categories of personal information we collect are described in Section 2 and include identifiers, personal information such as name and contact details, characteristics including age and gender, commercial information about registrations and payments, internet and device activity, and — where a parent provides it — health information and photographs. We collect it for the purposes in Section 5 and disclose it to the recipients in Section 7.
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising. We have not done so in the preceding twelve months, including for anyone under 16. We retain personal information as described in Section 9.
To exercise any of these rights, or to submit a request through an authorized agent, email support@diamonddominator.com. We may need to verify your identity by confirming control of the email address on the account.
12. Security
We use industry-standard measures to protect information, including encryption in transit and at rest, authenticated access, and server-enforced access rules that limit each account to the records it is entitled to see. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your information, we will notify you as required by law.
13. Where Information Is Stored
Information is stored on servers in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to and processed in the United States.
14. Changes to This Policy
We may update this policy. For material changes we will update the Effective Date above and give reasonable notice through the Service or by email. Continuing to use the Service after a change takes effect means you accept the updated policy.
